Only the German version of the terms and conditions for the EFDC1 event is legally binding. We offer this English version for information purposes only.
Short Version
- This short version serves to summarize the following detailed terms and conditions and does not replace them.
- These terms and conditions are part of a contract with RWTH Aachen University for the purpose of participating in the 1st European Fluid Dynamics Conference (hereinafter referred to as “EFDC”): EFDC1.
- Registrations for the EFDC1 are processed via the electronic registration portal https://www.conftool.org/efdc1 provided by RWTH Aachen University. A contract is only concluded once a confirmation of registration has been received.
- EFDC1 is subject to a fee. Further details are set out in the participation agreements.
- In the event of late payment, the reminder costs are due with the second payment reminder.
- Depending on the time at which participation in the EFDC1 event was canceled, cancellation fees may apply.
- In the event that the conference cannot be held or has to be changed due to events beyond the control of RWTH Aachen University (force majeure) or due to events not attributable to intent or gross negligence on the part of RWTH Aachen University, a refund of the full conference fee cannot be guaranteed.
- Content and media used during the EFDC1 event are protected by copyright. This media may not be reproduced, distributed or used for any purpose other than participation in the conference.
- All event documents are protected by copyright. Participants are not permitted to make audiovisual recordings during the event.
- RWTH Aachen University assumes no liability for the accuracy, timeliness and completeness of the event documents and content or for damages resulting from their use or distribution.
- RWTH Aachen University is only liable in cases of intent or gross negligence.
- Participants agree to the possible use of photo or video recordings, including their image, by RWTH Aachen University and its representatives. This consent can be revoked in writing at any time.
- Personal data is stored and processed in accordance with the currently applicable data protection regulations.
- The place of jurisdiction is Aachen.
Detailed Version
§ 1 Scope of application
Participation in the EFDC1 of RWTH Aachen University is subject exclusively to these terms and conditions. Other terms and conditions of third parties or participants are not accepted.
§ 2 Registration / Confirmation of registration
- Registrations for the EFDC1 are accepted via the electronic registration portal https://www.conftool.org/efdc1 provided by RWTH Aachen University. Data protection information for this portal can be found at https://www.conftool.org/efdc1/privacy.php/
- The prerequisite for this is that the participant has created a user account. To create an account, the link “Create account and submit an abstract” must be clicked. All necessary data must then be entered and submitted. The participant will then receive an e-mail confirming the user account.
- To register for participation, the participant must register for the “EFDC1” event in his/her user account via the “Register as Participant” link. This initiates the registration process. This consists of four steps:
- The participant must select one of the specified participant groups. If the participant wishes to be listed on the public list of participants, this must be actively selected. The data to be printed on the name badge can also be entered there.
- Depending on the participant group, the participant can now select various ticket offers for the event.
- The participant must enter the invoice details and select a payment method. Payment can be made by bank transfer or credit card.
- Before submitting the participant request (offer), the participant must agree to the applicable terms and conditions. By clicking “Confirm purchase”, the offer to participate is submitted.
- The contract shall only be deemed concluded upon confirmation of successful registration by e-mail (acceptance).
§ 3 Payments
- Participation in the EFDC1 and additional services are subject to a charge. The prices shown are per person and ticket, plus any applicable VAT. The costs of payment transactions shall always be borne by the participant.
- The participation fee is due immediately and must be paid without deduction by bank transfer to the account specified on the invoice. If payment is made by credit card, the participant will be automatically redirected to the payment service provider “PayOne”.
- Payment of the price is due immediately upon conclusion of the contract. If the due date for payment is determined according to the calendar, the customer shall be in default by missing the deadline. In this case, he shall pay the Provider default interest in the amount of 5 percentage points above the base interest rate. In addition, RWTH Aachen University reserves the right to cancel and reallocate the participant’s place if payment is not made.
§ 4 Cancellation
- Participants have the right to cancel their binding registration. Such a cancellation must be declared in writing by letter or e-mail to efdc1@academy.rwth-aachen.de.
- Cancellation fees will be charged depending on when the participation in EFDC1 is canceled. Unless otherwise specified, the following applies
- Up to and including 31. July 2024, a cancellation fee of 50% will be charged.
- After 1. August 2024, a cancellation fee in the amount of the ticket price will be charged.
- Alternatively, the canceling party is free to nominate a replacement person for participation in EFDC1 without incurring any fees. The nomination of the substitute person can be sent by e-mail to efdc1@academy.rwth-aachen.de, stating the user ID.
- If a registered participant does not attend the conference, the full participation fee must be paid or there will be no refund of the event fee.
- In the event of cancellation due to illness or premature departure from the event by the participant, there is no entitlement to a partial or full refund of event fees already paid.
§ 5 Cancellation by the organizer / change of event
- RWTH Aachen University reserves the right to make changes in organization, personnel or location or in the procedure of the EFDC1, provided that these do not significantly affect the overall character of the educational event.
- In the event that the conference cannot be held or has to be changed due to events beyond the control of RWTH Aachen University (force majeure) or due to events that are not attributable to intent or gross negligence on the part of RWTH Aachen University, RWTH Aachen University cannot be held liable for any damages, costs or losses incurred.
- RWTH Aachen University also reserves the right to cancel the event at short notice if a recommendation is issued by the Federal Ministry of Health, the State Ministry of Health, the Health Department of the City of Aachen or the Lord Mayor to cancel this event or events of this kind. The same applies in the event of a corresponding recommendation from the relevant authorities in the event of a terrorist threat.

All event documents (both in physical and digital form, such as video and audio recordings) are protected by copyright. The reproduction, distribution or other use of the documents as well as all documents, graphics, audiovisual materials and other information carriers provided by RWTH Aachen University or its representatives is only permitted with the express written consent of RWTH Aachen University.
§ 7 Liability
- The EFDC1 is carefully prepared and executed by the organizing committee. RWTH Aachen University assumes no liability for the timeliness, accuracy and completeness of the event documents and presentations, the execution of the EFDC1 and its contents. In particular, RWTH Aachen University assumes no liability for possible damages resulting from the application or dissemination of knowledge acquired or imparted during EFDC1.
- Participants’ claims for damages are excluded. Excluded from this are claims for damages arising from injury to life, limb or health or from the breach of essential contractual obligations (cardinal obligations) as well as liability for other damages based on an intentional or grossly negligent breach of duty by RWTH Aachen University, its legal representatives or vicarious agents. Essential contractual obligations are those whose fulfillment is necessary to achieve the objective of the contract.
- In the event of a breach of material contractual obligations, RWTH Aachen University shall only be liable for the foreseeable damage typical of the contract if this was caused by simple negligence, unless the participant’s claims for damages are based on injury to life, limb or health.
- The above restrictions also apply in favor of the legal representatives or vicarious agents of RWTH Aachen University if the claims are asserted directly against them.
§ 8 Photos / audiovisual recordings
Within the EFDC1, the taking of photos or the creation of audiovisual recordings of any kind is prohibited for persons who have not been specifically assigned by RWTH Aachen University.
§ 9 Data protection
RWTH Aachen University and its representative process and store the data collected in the context of participation in the EFDC1 and the data necessary for the fulfillment of the contract and ensure the protection of this data on a permanent basis.
When commissioning services related to personal data of third parties, an order processing contract is concluded in accordance with the GDPR. Participants will be informed about the data processing by RWTH Aachen University during the registration process and asked to agree to the data protection information.
§ 10 Applicable law, foreign language and place of jurisdiction
- The business relationship between RWTH Aachen University and the participant is subject to the law of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods.
- If these General Terms and Conditions (GTC) are translated into a foreign language, the German version of the GTC shall always prevail in the event of linguistic ambiguities.
- Should any provision of these Terms and Conditions be invalid in whole or in part, this shall not affect the legal validity of the remaining provisions. The contracting parties agree to agree on a replacement provision that comes as close as possible to the meaning and purpose of the invalid provision.
